Ignite Administrative Assistant

Job Purpose & Summary

FacetoFace Ministries is a professional, vibrant, and growing ministry based out of Saskatoon, SK. POSITION: IGNITE CAMPS ADMINISTRATIVE ASSISTANT 

Reports to: Ignite Event Coordinator 
Employment Term/Hours:  

  • April 20-June 26 – 10 weeks (35 hours/week) We anticipate multiple positions being available if we receive government summer grant funding.
  • Jun 15-Aug 28 – 11weeks (35 hours/week) We anticipate multiple positions being available if we receive government summer grant funding.

The FacetoFace Ignite Administrative Assistant provides essential administrative and organizational support to the Ignite Event Coordinator. This role carries out delegated tasks that contribute to the planning, preparation, and smooth operation of Ignite Camps, ensuring details are completed with accuracy and excellence. The Administrative Assistant works closely with the Ignite Event Coordinator through regular check-ins and guidance.  

Primary Ignite Duties and Responsibilities

Registration & Participant Support 

Carry out assigned tasks related to processing registrations, including confirming details with parents/participants, registrations communications, and updating master registration spreadsheets. 

General Administrative Assistance 

Support all administrative aspects of camp as delegated by the Ignite Coordinator, including maintaining accurate files, assisting with schedule and logistics preparation, and ensuring required documentation is completed or supported in their completion. 

Budget & Financial Task Support 

Assist in tracking the working budget for assigned camps, processing simple financial tasks (such as submitting receipts, and other post-camp wrap-up items), and making approved purchases for camp supplies.

Communication & Follow-Up Execution 

Send assigned communications such as camp info, evaluations, lost-and-found notices; support the gathering and distribution of testimonies, photos, and videos; and update digital files accordingly.  

Supplies, Materials & Post-Camp Organization 

Make or purchase needed materials (e.g., name tags, signs, program supplies, Mass items); reorganize digital files after each camp; and provide a final written summary of all completed tasks for assigned camps. 

Job Specifications & Qualifications

The Ignite Camps Administrative Assistant must be spiritually and professionally ready to uphold the excellence FacetoFace Ministries strives for. 

Qualifications include: 

  • Commitment to growing in Christ-like character through daily prayer. 
  • Desire to share the gospel of Jesus Christ with trust and joy. 
  • Excellent written and verbal communication skills. 
  • Strong computer proficiency, especially in Microsoft Excel. 
  • Highly organized, self-driven, and able to prioritize tasks effectively. 
  • Collaborative and able to work with others to complete large-scale projects. 

Working Conditions

  • Primarily working within the FacetoFace office.
  • Consistent office days and hours are preferred. These will be coordinated with the Executive Director.
  • Some evening and weekend work may be required.
  • When overtime occurs, time-in-lieu will be given.

Ignite Junior Co-director

Job Purpose & Summary

The FacetoFace Ignite Junior Co-Director is responsible primarily for helping oversee the planning and execution of the FacetoFace Ignite Junior Camps, alongside the Ignite Leadership Team. The Ignite Junior Co-Director will be present at both Ignite Junior AB and Ignite Junior SK, co-directing the camp alongside another Director.

Primary Ignite Duties and Responsibilities

Leadership, in conjunction with the Ignite Leadership Team and Executive Director

  • Pick Ignite theme and choose talk topics.
  • Work to expand Ignites through key relationships.
  • Assist and learn on-site leadership at Ignite Camps through mentorship under the FacetoFace Staff.

Administration

  • Communicating and working alongside the other Co-Director to know which tasks need to be completed.
  • Help to plan out the camp programming and create a schedule for the junior camps.
  • Assemble or purchase any necessary supplies, such as duotangs, name tags, signs, game supplies, mass supplies, etc
  • Clean and organize bins, supplies, and digital files after both Ignites Junior camps are over.

Ignite Team

  • Support the Volunteer Coordinator as necessary in tasks related to recruiting and screening the Ignite Teams.
  • Communicate roles to specific team members, such as those sharing talks, giving testimonies, or leading games.
  • Help assist at the Team Weekend to spend time with Ignite Team before camp starts to unite, form, and build them up before serving.

Ignite Camps

Working alongside the other Co-Director, lead two Ignite Junior Camps (Ignite Junior AB and Ignite Junior SK):   

  • Ensuring the Ignite Camps fulfill their purpose through each element offered.
  • Have key conversations with volunteers who are filling a specific role at the camp (giving talks, leading games, etc.)
  • Prepare the Ignite venue, including tasks such as make sure all supplies are brought, preparing main session space, setting up registration tables, etc
  • Help keep the camps operating as efficiently as possible by completing own tasks and delegating tasks to Ignite Junior team.
  • Along with Co-Director, make final decisions on discipline and any significant matters.

Job Specifications & Qualifications

The Ignite Junior Co-Director is to be spiritually and professionally able to take on the excellence that FacetoFace Ministries strives to achieve. Job specifications include:  

  • Actively striving to grow in Christ like character, including consistent daily prayer. 
  • A desire to share the gospel of Jesus Christ, and a trusting reliance on God to yield the hoped-for results. 
  • Excellent verbal and written communication skills. 
  • Technologically apt and proficient with computers.  
  • Ability to prioritize and accomplish tasks on time. Organized and self-driven. 
  • Teachable and open to feedback.  
  • Works well with others, both in planning and executing the Ignite Junior camps. 

Working Conditions

  • Primarily working within the FacetoFace office. 
  • Consistent office days and hours are preferred. These will be coordinated with the Executive Director. 
  • Some evening and weekend work is required. 
  • Serving at both Ignite Junior camps (AB & SK). 
  • When overtime occurs, time-in-lieu will be given.  

Dates of Employment, Hours, and Income

  • Length of employment is 10 weeks from June 24 to Aug 30.             
  • Employee will work 35 hours per week at $16/hour.
  • Employee will be paid monthly.
