Booking a School Retreat
Please review all points before submitting a School Retreat Booking Request.
If you are unsure what type of retreat to request, if you are eligible for more than 1 day of school retreats, or any other questions please click here to fill out a form and our School Retreat Coordinator will guide you through what the best fit for your school is.
Important NEW information about booking a School Retreat
- Booking for the 2025-26 School Year will open on April 29th, 2025 at 4pm SK/AB. Come back to this page and you will find a booking form as you scroll down.
- The retreat weeks available to choose from when requesting are found below. Please review the dates in advance to determine your first, second, and third preferences. Please ensure you are checking with your school calendar and are available for all the days you request.
- You may book 2 consecutive days, if your school meets our requirements. This includes K-12 schools and schools that have a population larger than the capacity of their gym can hold. Please reach out to know if your school qualifies.
- We do not offer K-12 Whole School Retreats. Your K-12 school needs to spread across two days of Elementary and High School Retreats.
- When requesting a week of retreats, you will be required to provide each school name, population, grades and type of retreat you are requesting. Please have this information ready to go.
- We updated our pricing in 2024, please see the breakdown below.
- (Elementary Schools Only) This year we will be providing additional resources for your school to use during the retreat day when you are not is session with FacetoFace. This will include worksheets, crafts and classroom activities. These will be available to you one month before your retreat day.
Cost + Travel
Scaled pricing by number of students starting at $1300 + Travel Expenses.
The scaled pricing is a base fee of $1300 plus $1.50/student for every student over 200.
If you have more than 200 students, a formula to use to find out how much your retreat would cost is:
1300 + (1.5 x (school population – 200)) = retreat cost
For example, if your school has 370 students then it will cost 1300 + (1.50 x (370 – 200)) = $1555 + travel expenses
Travel expenses include shared mileage among the schools each week, hotels, and meals. See estimated breakdown for your province in a full week of schools: Saskatchewan: $375 Alberta: $425 British Columbia: $700
**Please note if you are a school within Saskatoon you will not be charged mileage.
Second Day Discounted Pricing
If you have more than 600 students in your school and cannot all fit together in your gym at once, you are recommended to book 2 consecutive days of School Retreats. Schools in this situation will receive their second day base fee discounted to $800.
Day 1: 1300 + (1.5 x (school population at retreat – 200)) = Day 1 retreat cost
Day 2: 800 + (1.5 x (school population at retreat – 200)) = Day 2 retreat cost
For example, if your school has 650 students then it will cost:
Day 1 is $1300 + (1.50 x (450 K-6 students – 200)) = $1675 + travel expenses
Day 2 is $800 + (1.50 x (200 Gr 7-9 students – 200)) = $800 + travel expenses (just hotel, not mileage as already charged with Day 1)
Thus, two days would cost $2475. By comparison, a 1-day retreat with 650 students would cost $1975, only $500 more for a second day allowing better retreat ministry for everyone.
How to book a School Retreat
PRACTICALS WHEN REQUESTING A SCHOOL RETREAT
We know that there is a large demand for School Retreats. We expect a large number of requests to come in the week of April 29 and it will take time to discern which bookings to accept. We will take all the request information and start to discern the placements starting May 6.
• Deciding on which booking requests to accept will be a combination of order of request, the number of schools/days requested, and your flexibility with dates. Do not expect to hear back from us until mid May.
Once you hear back from us about your booking request, you will still need to complete a second form that confirms the booking. This second form is what solidifies your booking. It will include collecting more information about each school, such as bell schedules, and signing the booking agreement with the cancellation policy.
Cancellation fee: Due to the inconvenience of the other schools who booked in the same week and our staff time, we are charging a $400 cancellation fee. This fee can be waived if you are able to find a different school in the area to book that date.
We have two excellent, high energy and faith filled duos serving schools this year. No matter which of the two teams comes to your school, you can expect an amazing retreat day that flows and looks just as you might expect from past years. You may not request particular retreat leaders.
1. Try to fill a week of Retreats.
Tuesday to Friday, 4 days, is considered a full week.
CREATING A GROUP OF SCHOOLS TO BOOK MULTIPLE DAYS:
We strongly encourage booking a week, 4 days of retreats, as a School Division. This will give the best chance of getting the requested booking.
Creating a group of 4 schools to book is the next best route. If you know there are other schools in your city or area that also want to book then please contact them to create a group that can request a full week. Once you have heard from those schools, you are welcome to reach out to new schools to try to get a full weeks worth of days to request. Only one person needs to fill out the request form for your all schools.
If your group is only requesting a few days that may be fine. If 2 schools work together to ask for 2 days during a specific week then we may be able to add more schools to it.
INDIVIDUAL SCHOOLS
If you are a single school you are still welcome to request a booking. However, the chances are getting the week you are requesting are low. Mostly likely, we will ask you to join weeks that already have a group of 2-3 schools to complete that week.
GREATER SASKATOON CATHOLIC SCHOOLS
Since FacetoFace Ministries is based out of Saskatoon, you are considered local. Thus your booking process works differently. Please contact us as individual school. Creating groups is NOT necessary.
We have pre-selected dates available for GSCS. There are a limited amount of dates available for both Fall/Spring.
The booking form will recognize you are from Saskatoon and respond accordingly.
2. Pick your preferred weeks.
Decide which are your top 3, in order of preference.

3. Complete the request form starting April 29 at 4pm SK/AB.
Have one contact from your division or group of schools fill out the form.

Once you hear back from us in the middle of May about your booking request, you will still need to complete a second form that confirms the booking. This second form is what solidifies your booking.
After Your Booking
Your booking is considered complete after you have (1) requested a booking, (2) we have contacted you to solidify the dates chosen, and (3) you completed the booking confirmation form (different than the request form) sent to you by FacetoFace.
At this point FacetoFace Ministries will reach out to you via email approximately one month before your booking with a tentative schedule and any other pertinent information.
